Bookkeeping basics for small businesses
Good bookkeeping is a habit, and a few simple routines make all the difference. They keep your accounts accurate, your GST and tax filings smooth, and your numbers ready whenever a bank, investor or buyer asks for them.
1. Keep business and personal money separate
Run every business receipt and payment through a business bank account. It makes your books cleaner, your reconciliations quicker and your expenses easier to support.
2. Record transactions as they happen
Enter sales, purchases and expenses weekly, or daily if volumes are high. Small, regular updates take minutes; a year of catch-up takes weeks.
3. Keep every invoice and bill
Store sales invoices, purchase bills and expense receipts digitally, in folders by month. These documents support your GST input tax credit and your income-tax claims.
4. Use a clear chart of accounts
Group income and expenses under consistent heads that match how you run the business. Consistent categories make month-to-month comparisons meaningful.
5. Reconcile your bank accounts every month
Match every entry in your books to your bank and card statements. Monthly reconciliation catches missing entries and duplicates while they are easy to fix.
6. Track who owes you, and whom you owe
Review receivables and payables every week. Following up on dues promptly is one of the simplest ways to improve cash flow.
7. Close each month
At month-end, confirm that sales, purchases, bank entries and GST records are complete, and review a simple profit and loss statement. A monthly close turns your books into a management tool.
8. Back up and review
Use accounting software with secure backups, and have your books reviewed by a professional at regular intervals. A periodic review keeps small corrections small.
